Managing Zones and Destinations

Purpose

A zone is a defined area that will be used for price calculations, and it will appear in every price set grid. You may define your zones in whatever manner best suits your needs, however they will often directly correspond to city or zip code boundaries.

The destination feature will enable you to quickly and easily send packages to the same location on a regular basis, and be certain that the address and pricing information is accurate.

Getting Started

Add a New Zone
To access the Zones screen from the Go menu, choose Zones, or click Zones on the navigation bar. This screen contains the entire list of zones.

From the toolbar, click New Zone. Enter a unique name for the zone. (Required field: New Zone Name) If desired enter zip code(s) to be associated with this zone.

Add a New Destination
To access the Destinations screen from the Go menu, choose Destinations, or click Destinations on the navigation bar. This screen contains the entire list of destinations.

From the toolbar, click New Destination. Enter location information in the appropriate fields. The following fields are required: Contact Name, Phone, Email, Address 1, City, State, Zip Code. Select the appropriate zone from the Zone list for this location. Based on the zip code entered, the zone list will be filtered to show recommended zones at the top which are zones in which the given zip code exists.

Establishing this link between zones and destination addresses is important to the dispatcher as it is used to determine the base price of an order from a selected price set.

NOTE: Destinations can also be entered from OnTime Dispatch. However, if this application does not contain the zone information, it will not be able to calculate prices until a zone has been assigned by an administrator using the edit procedure.

Edit a Zone

From the Go menu, choose Zones. Double-click the zone to be edited. If desired enter a new unique name for this zone. If desired add or remove zip code(s) to be associated with this zone.

Delete a Zone

From the Go menu, choose Zones. Select the zone to be removed. Click the delete button (X) on the toolbar. Click Yes in the delete confirmation dialog box.

NOTE: Deleting a zone will not immediately remove it from the system, rather it will archive it. To avoid restoring an archived zone, always create the zone with a name that is unique and has never been used by other zones.

Edit a Destination

From the Go menu, choose Destinations. From the list of destinations double-click the destination to be edited. Modify the necessary fields.

Delete a Destination

From the Go menu, choose Destinations. From the list of destinations select the destination to be removed. Click the delete button on the toolbar. Click Yes in the delete confirmation box.
